Document Management or Document Management System (DMS) is a system designed to manage electronic documents or digitized paper documents, i.e. documents converted into digital format by scanning.

What does the Smart Document Flow offer?

The DMS interface itself is insufficient for many companies, which is why IXTENT has developed its own component inspired by customers’ needs.

Smart Document Flow is a product developed by IXTENT which acts as a connecting link between DMS (Enterprise Content Management System – OpenText Content Suite) and information inputs. This product offers useful, widely configurable add-on functions that are beyond the capabilities of a DMS as such.

New version of IXTENT´ s Smart Document Flow offers:

  • Support for the User attribute and the possibility of data completion on the groundwork of an e-mail or name.
  • Documents upload into folders under Business Workspace.
  • Bidirectional multiple links between DMS ID and DOCID.

Support for the User attribute and the possibility of data completion on the groundwork of an email or name.

The user or group retention attribute is already supported. Plus, there is no need to know the DMS ID, it is enough to know the email, name or first and last name of the user (only first name is supported for the group). The SDF will find it itself and transfer it to the appropriate account. This eliminates customer’s work associated with searching, integrating and handling error conditions, for example when a user is banned.

Documents upload into folders under Business Workspace.

Business Workspace is a DMS functionality used mainly in conjunction with xECM. Since version 5.6, SDF can insert documents even into these special objects or their subfolders, thus enabling a greater degree of automated integration even within BW containers connected to SAP.

Bidirectional multiple links between DMS ID and DOCID.

The third extension also stems from the integration with SAP, i.e. the support for multiple links between Content Server and Archive identifiers. If one document is linked to various objects in SAP, xECM can ensure that several corresponding objects are created in the DMS, each with its own DMS ID, even if they actually refer to a single file in the Archive. SDF methods, which use archive identifier (DOCID), will newly allow requests to be processed despite the ambiguity of this identifier.
