The well-known Czech logistics company HOPI s.r.o. has chosen another trusted Czech company, IXTENT® for the second time as its ECM (Enterprise Content Management) solutions provider. At this stage a ‘circulating document’ has been successfully implemented at HOPI s.r.o. – a solution for electronic approval of suppliers’ invoices within the ERP business system SAP R/3.
HOPI s.r.o. has decided for the first stage of optimisation of the approval process, with the suppliers’ overheads invoices including the setting up of typical approval scenarios using electronic workflow. Implementation of the IXTENT solution has fulfilled requirements to set up electronic approval of invoices for different types of users, including the history of the approval process, acceleration of the approval, implementing a ‘circulating document’ – an electronic shell of the supplier’s invoice, automatic notification for the approver to the email client, carrying out scanning of incoming invoices, limiting loss of the original, creating secure data storage with access to archived documents, substitutability of the approvers according to the settings in workflow, making the approval process effective, which all runs in a SAP environment (training not necessary) and directness of steps which strengthens the personal responsibility of employees.
Solutions for electronic approval of suppliers’ invoices is well thought and in simple steps and straightforwardly maps the approval process according to the requirements of the organisation HOPI s.r.o. Its demonstrability for external audits is also ensured. The HOPI family business HOPI began in 1992 as a regional company which originally concentrated mainly on the field of the grocery business. The headquarters were in v Klášterec nad Ohří.
