More effective work with documents in the SAP environment for Europapier company

About the customer

Europapier is the largest paper trading company in central and eastern Europe. In 2015 it achieved the annual turnover of EUR 518 million with approximately 2,100 customers a day. This result was reached by its 961 employees in 16 subsidiary companies. With its tradition since 1971, Europapier continuously tries to achieve further expansion and development.

About the project

Europapier company turned to IXTENT with a request for implementation of easy and structured organisation of document attachments in the SAP environment. It already had the OpenText DocuLink tool, but it was not used actively.
The solution implementation required numerous tailor-made functionality modifications. IXTENT company developed functions specific for the customer to facilitate the work of future system users – such as creation of a field displaying the number of attachments above a document. This seemingly non-essential function will save a lot of time for the employees during their everyday work. “Adding of a button for quick access to attachments in purchase orders was a condition for creating a new user-friendly functionality,” said Daniel Mašek from the Business Application Development department of Europapier company.

About the solution

OpenText Document Access for SAP Solutions enables integration of company documents with objects directly in SAP. Office documents, e-mails and scanned paper documents are thus available directly from SAP transactions and they are connected with the corresponding company processes. Archived documents as well as archived data from historic SAP and non-SAP systems are available inside SAP by means of the integrated DocuLink tool for SAP Solutions. Data can be viewed on the basis of unlimited number of views inside the tree structure defined by the customer. Document Access also enables full-text search for documents directly in SAP.

Duration of the project

The work on the project, from the initial request to the introduction in production, took two and a half months. As Europapier company was satisfied with the solution supplied by IXTENT, it was not the last project cooperation. “We have been cooperating with IXTENT company for many years and our cooperation includes the archive object size analysis, setting of archiving processes in SAP, trainings for OpenText products and the corresponding SAP part and  now also using of the DocuLink platform. For future we are planning to implement the control of supplier invoice processing, including the approval process,” added Daniel Mašek from the Business Application Development department of Europapier company.
